The Backstory

Kelly Wittman reached out to us for help in finding and hiring a new Virtual Assistant (VA) to support her business, Witt and Co. (https://wittandcompany.com/). Kelly supports her clients with branding and website design and recently had her first little girl. Between her workload and personal life change, her business had reached a point where she needed a virtual assistant to join her team quickly and take specific tasks off of her plate so that she could continue to provide her clients with a high-touch experience. 

Over the course of 6 weeks, the team at Tiffany Hoeft Consulting met with Kelly to understand what the roles, responsibilities, and the required skills were for her new VA.  We made sure we understood what the Witt and Co. core values were so we could identify candidates that would work well within the company culture.  We wrote up a job description that captured everything Kelly was looking for, posted the job in respected communities, and collected applications from potential candidates. In addition to understanding the roles, responsibilities, and values that a candidate would need to exhibit, we also worked with Kelly to identify, plan for, and prepare the Standard Operating Procedures (SOPs) that the assistant would need to complete all of the required and important tasks to Kelly's satisfaction.

 

After reviewing about 30 qualified applications, 16 candidates were selected for a video interview with Tiffany.

Based on the results of the initial interviews, Tiffany created a shortlist for Kelly to review, then scheduled second interviews between Kelly and the top 3 candidates.   Kelly then participated in second-round interviews with Tiffany and the candidates and after discussing options with Tiffany, selected the VA the best fits her business needs.

Tiffany and her team also participated in the onboarding process to ensure that both Kelly and her new VA were set up for success.  They created a schedule for the two to follow that made sure each role and responsibility was well understood.  They also included a variety of talking points that included the best forms of communication for each individual and clearly laid out expectations between the two for an optimal working relationship.  

 

The Tiffany Hoeft Consulting team took less than 6 weeks to find Kelly a great new VA that had the skills she was looking for and a personality and work style that fit well within Witt and Co.

We did this all while optimizing Kelly’s time, only making sure the most qualified candidates were vetted by her and handling the logistics of the project.
