Trello Vs. Clickup: Exploring the differences
If you have been around here for a while, you know that I LIVE by systems!
After having my kids, it became so blatantly apparent that I needed systems in my life to keep my sanity and my productivity. A good project management system is one particular tool that I value in both my personal and professional life.
A project management tool allows you to organize and track tasks. Its a system that I find invaluable for my own business and for those of my clients. It allows me to easily classify tasks, enter due dates, assign categories, and communicate with my team. Our project management system does the majority of the heavy lifting in keeping us on track.
But are all project management systems created equal? How do you choose what is best for you?
Project Management FAQs
What is a project management tool?
A project management tool is designed to help individuals or teams keep track of projects and tasks. The intent of the tool is to easily see who is managing what and where each stage of a project is at.
What are the best tools to manage projects?
There are many different project management tools out there. And all come with their own pros and cons. A great way to identify what works well for you is to test the options. Today we will review Trello and Clickup but a few other common project management systems out there are Asana, Monday.com, Teamwork, and Workzone.
How do I choose a project management system?
When identifying what project management system will work best for you, there are a few factors you should consider.
Budget
Team size and potential for the tool to scale with you

Number of members included or the cost of additional members
Storage capacity
There are many different platforms, but two that I have utilized are Trello and Clickup.
They each have their own strengths and what might work great for you might not work for someone else. That's why it is important to find a system that works well for you. Sure I can tell you which I prefer...but if you operate in a completely different industry from me with completely different clients, the PM that works for me might not work for you.
Let's look at each of these systems and what they offer.
Trello
This is an excellent tool if you enjoy seeing tasks in a classic board view. I find Trello great for those who are visual learners. It quickly shows your tasks, who is assigned to the task, and where it is at in the process. I used Trello before I found ClickUp and I still recommend it to many of my clients. It is efficient and allows for a simple way to track all your tasks.
Here are some of my favorite features of Trello.
Simple layout
A visual platform that is easy to consume
Easy to move tasks around
Smaller learning curve
Clickup
Marketing itself as "the app to replace them all", Clickup offers tons of features that really allow you to customize the app to your needs. My team and I use Clickup for my business and also for all my client's businesses. Clickup allows you to break big tasks and projects into smaller tasks. Spaces house your big ideas/segments of your business. Within these, folders can be created. And within folders, tasks and subtasks. All areas are easily customized so that you can track the stage things are in. It makes it easy to track and complete tasks for my personal life and business. My clients and team utilize the platform as well which lets us comment or assign ownership to each other.
My favorite features of Clickup are:
Great for complex projects. Tasks are able to be broken down into subtasks.
Customize how you want to see tasks - list, board, calendar views
Ability to create templates
Build the workspaces exactly how you need
Both Trello and Clickup offer free versions that aren't bad for those just getting started. In terms of which platform to use, it really depends on who will be using it and what you need it for. If you or your team struggle with learning a new platform, you may find Trello more user-friendly. If you have more complex projects to manage, Clickup's flexibility and features may suit you better.
